FREQUENTLY ASKED QUESTIONS
We often receive a variety of inquiries about the workings of private jet charters. To assist you better, we've compiled these frequent questions into a user-friendly and detailed FAQ for your ease of reference.
What is a private charter?

A private jet charter, also known as an executive charter, is a service that enables people or organizations to rent an entire aircraft for their exclusive use as opposed to just a single business- or first-class seat on a commercial airline. This enables flexible schedules, highly private travel, and customizable itineraries. Private jet charters are arranged via a broker or operator that handles every aspect of the flight, including aircraft selection, flight planning, and in-flight service.

What are the advantages of a private charter?

Private jet charter offers many advantages compared to commercial air travel, including

  • Flexibility: Private jet charters allow passengers to arrive and depart on their own terms by providing personalized itineraries and flexible schedules;
  • Privacy: Travelers who use private jet charters benefit from a high level of privacy and don't have to interact with other passengers or wait in lines at airports;
  • Time savings: Private jet charters typically require considerably less time for check-in, security, and boarding, allowing passengers to make the most of their time;
  • Unmatched Comfort: Private jets offer a more comfortable and spacious flying experience, with luxury amenities such as snug leather seats, in-flight entertainment, and gourmet food;
  • Reduced travel stress: Private jet charters eliminate many of the hassles associated with commercial air travel, such as lost luggage and delays, reducing stress and improving the overall travel experience.

Overall, private jet charters provide a more convenient, comfortable, and efficient way to travel, making them attractive solutions for individuals and organizations that value their time and privacy.

Why choose a private charter broker over an operator?

Choosing a private charter broker over an operator offers the following benefits:

  • A wider selection of aircraft: brokers have relationships with multiple operators and aircraft owners from around the globe, providing access to a greater pool of aircraft to choose from;
  • Expert guidance: brokers have in-depth knowledge of the industry and can provide professional advice on choosing the best aircraft and operator for your specific needs;
  • Negotiated rates: brokers are able to negotiate prices on behalf of clients, which may result in notable cost savings;
  • Time-saving: brokers supervise every stage of the flight, freeing up time for the client and allowing them to focus on other priorities;
  • One-stop-shop: brokers offer complete private charter packages including jet booking, in-flight services, airport transfers, and hotel reservations.

Overall, working with a private charter broker provides a higher level of convenience and expertise, making the private jet travel experience smoother and more stress-free.

What is an Empty Leg

An Empty Leg is a private jet flight that operates without passengers. This may occur in the following situations:

  • The flight is booked as a one-way trip, and the return sector or leg becomes available for sale;
  • The plane has been chartered to pick up a passenger in another location, and the positioning leg is for sale;
  • The plane is coming back from an event or scheduled maintenance, so the operator sells the return leg to reduce positioning expenses.

In short, the flight to the next destination is empty and is made available for booking at a reduced price. Empty Leg flights are a cost-effective way for travelers to experience private jet travel and offer a unique opportunity for one-way travel at a fraction of the cost of a traditional private charter.

In some cases, the price difference between a usual private charter and an empty leg can be quite substantial, making an empty leg an affordable alternative to a first-class seat on a commercial airline. Industry experts estimate that empty legs can reduce flight costs by 20% to 60%.

The President Voyage Jets sales team has access to information about dozens of empty legs. We always check our empty leg data sheet first to find a cost-efficient option for our clients’ next flight.

That said, there are several important points one has to take into consideration when agreeing to an empty leg:

  • Limited Availability: Empty-leg flights are often available at short notice, but they may not be available for all destinations or at all times. The specific details of the flight (such as departure time, route, and aircraft type) may also be limited.
  • Unpredictable Scheduling: Empty-leg flights are created when a private jet has been chartered for a one-way trip, so the availability of empty legs can be unpredictable and can change at short notice.
  • One-Way Only: Empty-leg flights are only available for one-way trips, so travelers must find alternative transportation for their return journey.
  • Limited Flexibility: Empty-leg flights may not be suitable for travelers who need to depart at a specific time or who need a flexible schedule.
  • Lack of options: Since a particular aircraft has been confirmed for the flight operation, you are unable to select it from a list of alternatives.

While empty-leg private charters can offer significant cost savings, they may not be the best option for all travelers, and it's important to consider the disadvantages carefully before booking an empty-leg flight.

What is Jet-sharing?

Jet-sharing is a type of private charter in which a group of individuals pools their resources to share the cost of private jet travel. This allows each party to enjoy the benefits of the private charter at a significantly lower cost compared to chartering an entire aircraft. It is even more cost-efficient than an empty leg.

Jet-sharing arrangements are usually made on a per-trip basis. When compared to renting an entire business jet, this option can save you up to 90%, making it an alluring choice for travelers on a tighter budget.

President Voyage Jets can help facilitate jet-sharing arrangements and ensure a seamless experience for every passenger. We partner with select reputable operators to create regular jet-sharing programs to such popular destinations as Nice, Malaga, Dubai, Male, and London.

If you are hesitant to choose jet-sharing as your next travel option, please note that it is only a compromise when it comes to the pricing policy. Everything else is at the same level of comfort and quality as a traditional private charter flight.

Which expenses are reflected in the quote?

As a rule, a private charter quote includes the following expenses:

  • Aircraft rental fee: This covers the cost of the aircraft and the crew;
  • Fuel cost: The cost of fuel required for the operation calculated based on the number of passengers and baggage amount;
  • Operating costs: This includes expenses such as ground handling and airport fees;
  • VIP/CIP/GAT: The cost of VIP services at the airport of origin and destination calculated per passenger;
  • VIP Catering: The cost of food and drinks for passengers;
  • Special Charges: These include any additional expenses for the services that are not included in a common private charter contract such as airport transfers, non-standard dietary preferences, hotel reservations, etc.

Kindly note that these costs can vary depending on the aircraft type, the length of the flight, and other factors. Your personal manager will provide a detailed breakdown of the quote to ensure that you have a clear understanding of all the expenses involved.

Are there any potential "unexpected" costs?

Generally, there aren’t any unforeseen expenses. However, in the winter, depending on the weather conditions, aircraft have to be deiced. In the snowy season, deicing is required to remove built-up ice and snow from aircraft surfaces, which can cause decreased lift and increased drag, affecting performance and safety. Deicing must be done prior to takeoff to ensure the aircraft can safely take off and fly.

Deicing can't be charged in the planning stage of a private charter operation because it is an unpredictable and variable cost that depends on weather conditions at the time of the departure. The cost of deicing depends on the type of deicing fluid used and the amount required and can vary greatly from one flight to another. Additionally, the deicing fluid must be applied very close to takeoff, making it impossible to predict or precharge in advance.

The charter price does not include WI-FI Internet access or satellite phone calls. The satellite Internet connection, if available, is quite pricey. In general, checking email or chatting in messengers is comparatively cheap, but making calls, downloading files, using streaming services, or attending conferences may cost you a fortune. We recommend that you always ask your personal manager to provide you with the price per MB before the flight and inform the cabin crew to turn off the Wi-Fi if you do not intend to use the Internet so that your device does not connect to it automatically.

Operators may also charge for cleaning the cabin after careless use and for any interior damage caused by passengers. Accidental occurrences like spills, damage, or heavy use of the aircraft's amenities can increase the cleaning requirements. These factors make it difficult to accurately predict the cost of cleaning, and thus it is considered an unforeseen expense. Additionally, smoking is typically not permitted on executive aircraft. Nevertheless, some operators permit smoking for an additional fee, which is typically quite high because it pays for the possibility of having the cabin dry-cleaned to remove the cigarette smoke odor.

Which forms of payment do you accept?

President Voyage Jets accepts various means of payment, including crypto. To see if we can accommodate your payment method of choice, please inform your personal manager about the specifics as soon as possible.

How far ahead do I need to book?

The ideal time to book a private jet charter is determined by a number of variables, such as the purpose of the flight, the number of passengers, the destination, and schedule flexibility. In general, it is suggested to book a private jet charter at least a few days in advance to guarantee availability and lock in the best price.

However, President Voyage Jets has the capability to organize ad-hoc or urgent flights with as little as several hours' notice. Please note that short-notice flights are always subject to availability, airport slots, and permits. The requirements of the aviation authorities of the country of departure and arrival may severely restrict the possibility of an urgent departure.

Furthermore, it's important to remember that booking ahead, sometimes several weeks or months in advance is recommended to ensure availability and the best prices during busy times like the winter holidays. This is because demand for private jet charters is typically high during high season, and early bookings guarantee the best options for your travel needs.

What paperwork do I need to send President Voyage Jets to confirm my reservation?

Your personal manager will request copies of each passenger's passport as soon as you confirm your reservation. For some locations, we may need additional documentation, such as residency cards, visas, or receiving party details.

We require a notarized parental letter of consent for every underage child traveling alone.

Prior to departure or the positioning leg, we need a signed copy of the charter agreement, proof of payment, or a credit card guaranteeing the payment.

How do you handle cancellations?

The cancellation policy is outlined in the charter contract. Liability is transferred the moment the contract is signed. The cancellation fee rises as the departure date approaches, reaching 100% if the cancellation occurs less than 24 hours before departure. If a flight is canceled, we always try to negotiate a reduction in the fine with the operator. Please keep in mind that a flight rescheduling or major re-routing is generally treated by operators as a cancellation and a new booking, with the same rules applying for cancellations.

Do you offer any flexibility with regard to confirmed reservations?

This largely depends on the operator that performs the trip. As I rule, we can guarantee one-hour flexibility. If you require more time-flexible departures, please inform your personal manager at an early stage of booking.

In cases where the client requires significant flexibility in their schedule, a delay of up to 24 hours can be agreed upon by special agreement.

Please remember that flexibility is dependent on crew duty and roster, as well as the upcoming aircraft schedule. In some instances, operators charge extra for additional waiting time.

How long is the private charter offer valid?

We normally give a 24-hour decision time due to the high volume of requests and the constantly shifting nature of the private charter market. Please note that each private charter offer is subject to availability.

Please keep in mind that until the charter contract is signed, the aircraft is not booked, which means it is still available for sale and can be booked by another client at any time. The aircraft is booked after the contract is signed and approval from the aircraft's operator or owner is obtained.

What are permits and slots, and why are they required for my flight?

Permits and slots are two important elements in flight operations, and they are required for most charter flights.

A permit is an official authorization issued by the Civil Aviation Authority of a particular country that grants an aircraft the right to fly within its airspace. Depending on the flight routing, different permits may be required, such as overflight permits, landing permits, or military clearances. The process for obtaining permits can be complex, and it typically involves submitting detailed information about the aircraft, crew, passengers, and itinerary to CAA.

Some countries, such as Israel, Egypt, Azerbaijan, or Saudi Arabia, request to submit receiving party or local sponsor details. These refer to information about an individual or organization that is responsible for receiving and assisting a visitor or group of visitors in a foreign country and include passport details, legal address, phone number, email address, and in some cases, an invitation letter.

A slot is a reservation for a specific time opening at a particular airport, allowing an aircraft to take off or land during that time. Slots are usually required at busy airports to manage the flow of air traffic and prevent congestion on the runway. Obtaining a slot requires coordination with the airport authority or slot coordinator.

Slot-restricted airports are airports that limit the number of flight operations they can accommodate during certain periods, usually due to high demand and limited capacity. In order to manage the flow of air traffic and avoid congestion on the runway, these airports require airlines and operators to obtain slots that allow aircraft to take off or land at designated times.

Some examples of slot-restricted airports popular among VIP passengers are Geneva, Chambery, Zurich, Innsbruck, Vienna, Nice, Frankfurt, and Amsterdam. Note that when planning an urgent trip to a slot-restricted airport, there is always a chance the flight will have to be scheduled according to slots offered by the airport.

PPR (or Prior Permission Required) is another type of flight approval by airport authorities. It involves requesting parking in advance because certain airports, for instance in Italy, have limited parking capacity. Getting PPR and slots can be especially difficult during the high season.

Can I travel with my pet?

Most executive jet operators are pet-friendly. Just inform your personal manager that you will be traveling with your adorable critter so that they can select the best option for you and your four-legged, feathered, or cold-blooded darling.

Please be aware that there are a number of veterinary rules and regulations to be followed, which vary depending on the country of departure and arrival.

It is always a good idea to confirm the specifics of traveling with a pet with your charter company as well as the customs and veterinary authorities of the countries you will be visiting. In some cases, a veterinarian may need to sign a health certificate or conduct a health check before your pet is allowed to fly.

The vast majority of countries require that pets have microchips and vet passports.

It's important to note that there may be additional fees for bringing a pet on a private jet, and some aircraft may have restrictions on the number and size of pets allowed on board. It's best to discuss your plans with your personal manager well in advance to ensure that everything is in order for a smooth and comfortable flight for both you and your pet.

What time should I arrive at the airport?

In general, it's recommended to arrive at the airport about 30 minutes before your scheduled departure time.

30 minutes will be more than enough for airport security procedures, baggage check-in, and boarding. For international flights, you may need to arrive a bit earlier to allow time for customs and immigration formalities.

If you anticipate being late for your departure, kindly let your personal manager know so that we can inform the crew, the operator, and the handler and have them collectively delay the departure accordingly.

Can you arrange catering from a restaurant of my choice?

Yes, as a private charter broker, we can arrange catering from a restaurant of your choice for your charter flight. We understand that catering plays an integral role in making your travel experience enjoyable, and we strive to provide you with the best options available.

When you book your private charter with us, simply let us know which restaurant you would like us to coordinate catering from, and our team will handle the rest. We have established relationships with a wide variety of restaurants and catering services in many different locations, so we are confident that we can find the right option to suit your preferences.

Whether you require a simple snack or a multi-course meal, we will work with you, the restaurant, or the VIP-catering provider to create a menu that meets your needs and exceeds your expectations. We can also accommodate any dietary restrictions or special requests you may have, ensuring that everyone on board is well-fed and satisfied throughout the journey.

Please keep in mind that hot catering is only available if the aircraft has an oven. Also, the catering budget varies according to flight duration and aircraft class, ranging from 50 to 200 euros per leg/per passenger. Premium catering items such as luxury champagne, whiskey, cognac, or black caviar are generally not included. Standard bar service, refreshments, and snacks are included in the private charter price, even on flights without catering.

Will there be a comfortable place to wait for my departure at the terminal?

Yes, General Aviation Terminals (GAT) offer comfortable waiting areas for passengers prior to departure. These areas are designed to provide a relaxed atmosphere with amenities such as comfy seating, refreshments, Wi-Fi, entertainment, and hospitable personnel.

Moreover, select VIP terminals have conference rooms for travelers that value their time and make the most of their work schedule. If you need to hold an important meeting with your employees or business partners prior to departure, kindly inform your personal manager. They will check if the airport has a designated conference area, its per-hour cost, and availability on the date of your flight.

Will I be able to access my luggage during the flight?

Yes, most business jets, especially larger ones, are designed to allow passengers access to their luggage. The storage capacity and accessibility of luggage on business jets can vary depending on the size and type of aircraft.

However, it is a good idea to pack basic travel items, such as medications, important documents, or baby food, in a carry-on bag for easy access during the flight. You can travel with peace of mind, knowing that your most important and valuable belongings are within reach.

Do private jets have an Internet connection or a satellite phone service?

Some private jets are equipped with Wi-Fi and satellite phone services, allowing passengers to stay connected during their flights. This can be particularly useful for business travelers who need to stay in touch with their colleagues, employees, clients, or partners while in the sky.

It's important to note that the quality and reliability of these services can vary depending on a number of factors, including the location and altitude of the aircraft and network coverage.

Also, note that Internet and satellite services are charged after the operation. Each operator has a different Internet provider and tariffs. It should be noted that onboard Internet and satellite phone are not cheap. For pricing information, kindly get in touch with your personal manager.

Will my private jet come with a multimedia entertainment system?

Yes, many private jets are equipped with multimedia entertainment systems, providing passengers with in-flight entertainment options such as movies, TV shows, music, and games. In some cases, the entertainment system may include high-definition displays, audio systems, and other advanced features. The entertainment system can be operated using personal devices, such as smartphones and tablets, or through dedicated in-seat controls.

It's important to note that not all business jets are equipped with a multimedia entertainment system, and the availability of this feature may vary depending on an aircraft's type, model, and year of manufacture. If airborne entertainment is a priority, please inform your personal manager in advance to understand the specific arrangements for your flight.

If the cabin management system lacks a multimedia playback feature, some operators use Android or iOS tablets and wireless speakers as a substitute. Flight attendants keep track of recent movie releases and music albums and update the playlists. And they always have all-time favorites to create a relaxed atmosphere on board.

Am I allowed to take my firearms on a private jet?

Yes, you can bring your firearms on a private jet, but there are important rules and restrictions that must be followed in order to ensure compliance with local, national, and international laws and regulations.

First and foremost, it is important to understand that the rules and regulations around transporting firearms vary by country and even by state or province within a country. Kindly inform your personal manager if you plan to take your firearms so that they can determine the specific rules and restrictions for the locations you will be traveling to and from.

Assuming you have complied with all laws and regulations of the country of origin and destination, there are still some general guidelines and restrictions that apply to the carrying of firearms on private aircraft. These may include:

  • Declaration and documentation: Firearms must be declared to the authorities and documented appropriately before the flight. This may include filling out forms, providing permits and licenses, and following any specific procedures set out by the authorities.
  • Secure storage: Any firearms must be unloaded and the triggers must be locked. Firearms must be stored in a secure and locked container during the flight, and the container must be stowed in an approved location within the aircraft. It is important to ensure that the storage container is not accessible to unauthorized individuals during the flight.
  • Ammunition restrictions: Many countries have restrictions on the amount and type of ammunition that can be transported, and these restrictions may vary based on the location of departure and destination. Ammunition must be transported in a container that complies with the laws of the countries of origin and destination as well as the aircraft operator.

Notification to the aircraft operator: It is important to notify the aircraft operator in advance of the flight that you will be transporting firearms, as they may have specific policies and procedures that have to be followed.

Should I tip the crew?

Tipping the crew on a private jet charter is a personal decision and is not expected, but is appreciated if you received exceptional service. The amount of the tip is also up to your discretion and can vary depending on the provided level of service, your budget, and your personal preferences.

It's important to note that the crew on a private jet charter are highly trained professionals who are dedicated to providing a safe, comfortable, and enjoyable experience for passengers. They are committed to making your trip as smooth and pleasant as possible.

If you would like to express your appreciation for their efforts, you may choose to tip the crew in the form of a monetary gift, a kind word, or a simple gesture of gratitude.
